2024 Vendor Load In
Hello 2024 Celebrate Davis Vendor!
We are looking forward to Celebrate Davis 2024 on May 17th with you! With your support and participation, we know we will have a successful event!
Vendor Load in begins at 10:30 am and continues until 3 pm. Your specific load in time can be found here:
Vendor Arrival:
Vendors may not park in the Arts Center parking lot during the event, unless sponsorship specified. Parking is available at Vets Center/DHS parking lot, however it is not guaranteed. Celebrate Davis brings out over 10,000 attendees from all over Yolo County and surrounding areas. We encourage you to arrive early to secure parking, however we can not guarantee parking.
Vendors are directed to come in through the Arts Center parking lot, accessible off Covell Blvd. Do NOT enter through the Vets Center Parking Lot. Entering through the Vet Center will disrupt our process and may result in delays with Vendor unloading.
Vendors do not require a load in pass - you will only need to provide your business name at the first stop in the load in process.
**Please note - if you are unable to make your load in time and come later, there may be delays in unloading assistance. You are required to have your booth set up by 4:00pm.**
Vendors will have 3 stops during load in.
First stop, entrance of Arts Center parking lot - see image:
Second stop, entrance of Community Park pathway - See Image:
Third stop is at Vendor Check in and Unload - See Image:
Community Park is a 5-Mile an hour zone
- keep your speed low and be aware of all pedestrians, cyclists, and construction near the solar panels.
Bikes and pedestrians have the right of way at all times.
Please be patient while driving through.
Load In:
Our volunteers will provide as much assistance as possible to you during the unloading process. Be aware that our unload staff are made up of volunteers who are working as quickly as possible to get you to your booth. Your patience during the unloading process is greatly appreciated.
It is highly recommended that you bring carts, wagons or dolly's to assist in your unloading and at event close to get your items from and too your vehicle. The DCOC is not responsible for any carts, wagons or dolly's that are left behind.
Volunteer are only available to get your items to your booth; they cannot stay at your booth to secure your items while you park your vehicle.
Parking is limited at the Vet Center/DHS parking lot. If possible, we encourage you to have someone drop you at load in and return after the event to pick you up. Please note - you will be unable to drive onto the pathway at event end. All items must be walked to your vehicle.
Booth Set-Up:
We encourage our Vendors to sell items at the event, but only food vendors may sell food and drinks. Any vendor selling food without a permit, or giving away drinks may be asked to leave the event without a refund. You may bring food and drinks for your event staff ONLY during the event.
Each booth space is supplied with one 8' foot table and 2 chairs, unless sponsorship specified. You must supply your own tent and decorations. Pop-up tents are highly encouraged to stay cool and protect you from the sun during the day.
Everything you bring must fit within your 10 x 10 space, or sponsorship specified space.
There is no Wi-Fi available at the park. Bring a mobile hotspot with you if you are bringing tablets, laptops, or point of sale machines and fully charged battery packs.
Please be sure to check the weather in advance of the event. It is recommended that you bring sunscreen, water, and light sweaters. Be prepared with weights for paper displays, and bungee cords or tape to hold down your items in case of higher winds.
You may not stake your tent to the field
. You may use sandbags, or weights to secure your tent.
No electricity will be provided at the event. Only food vendors are permitted to have generators unless special arrangements were made in advance.
No generators are allowed at the last minute.
You may not use tape or stickers on the chairs or table in your booth. Painters tape is acceptable for use should you require it. We recommend you bring table cloths to use.
We do not provide security for your booth. You are responsible for items at your booth at all times. If you arrive early and must temporarily leave before the event starts, we STRONGLY encourage you to NOT leave items of value.
Do not leave your booth during event hours to solicit other booths. You and your staff are welcome to visit other booths and to utilize our food vendors during the event, but no vendor to vendor solicitation is allowed.
Break Down:
Do NOT break down your event until 9:00 PM when the event concludes.
No vehicles are permitted to enter the park without prior Chamber permission and no vehicles will be permitted to enter for load out before attendees have left the park. It is HIGHLY recommended you bring a cart, wagon or dolly to assist you with load out as we will not have volunteers to assist.
A reminder - do NOT break down your table! Leave it in the upright position, with booth chairs folded on top.
Garbage:
We encourage you to be mindful of your waste - pack out what you pack in. You are responsible for all items that need disposal generated by your booth.
Vendor garbage bins are located in the Arts Center parking lot and are specifically for YOUR use. Bins available are Trash, recyclables, and organics. Please sort your waste accordingly.
Cardboard boxes must be broken down flat to dispose in bin.
Volunteers will be removing trash receptacles on the field at the close of the event. Please be considerate and do NOT fill these bags causing our wonderful volunteers to haul your booths waste products.
